    In your first month, you’ll:

    • Get to know the vCom team, build rapport
    • Develop an understanding of the office maintenance needs
    • Learn candidate assessment systems
    • Learn to facilitate office tours for new hire onboarding

     

    In your first 3 months, you’ll:

    • Plan recurring internal company events
    • Get to know vCom’s leadership team
    • Become familiar with the org and each department
    • Gain an understanding of the Finance team’s filing systems
    • Acclimate to vCom’s culture

     

    In your first 6 months, you’ll:

    • Learn to maintain an office budget, budget vs. actual spend
    • Participate in special office projects, which may include facilities administration
    • Suggest innovative enhancements to support ongoing improvements

     

    What you’ll do:

    • Assume receptionist duties, greet visitors and refer them to appropriate staff members, answer phone, route calls, and take messages
    • Assist with Event Planning, including monthly lunches and happy hours and other major events throughout the year
    • Executive Support (errands, admin support, deliveries, lunches etc.)
    • Support recruiting and onboarding efforts by retrieving candidate assessment results, selecting welcome gift, and providing office tours
    • Ongoing meeting set-up, including room configuration, as needed
    • Assist staff with administrative duties as requested (picking up lunch for team meetings)
    • Maintain kitchen inventory and cleanliness, including loading and unloading dishwashers in two kitchens, with a smile
    • Maintain conference rooms
    • Maintain office equipment, updates, and repairs
    • Stock and maintain inventory of office supplies
    • Support sales team with monthly sales board updates
    • Distribute mail and handle shipping and deliveries
    • Filing, scanning, copying, printing & file organization
    • Manage recycle program
    • Various recurring Administrative and Human Resources tasks (Birthday and Anniversary Program, etc.)
    • Review incoming emails, instant messages, phone calls, voicemails, etc., and provide timely (same-day) responses

    • Strong PC skills including knowledge of MS Word, Excel, PowerPoint, Outlook, and general knowledge of database software applications
    • BA/BS Degree, or equivalent

     

    It’s also helpful if you’ve got:

    • 1+ years of administrative or office experience
    • Experience supporting individuals with strong personalities
    • Knowledge of soft phone systems (ex. RingCentral); answering and transferring calls
    • Knowledge with office equipment and maintenance: printers, fax, scanning, mail machine, shredder, projector equipment

     

    Compensation:

    $18-20/hour

    The Selection Process

    • After submitting a resume, qualified candidates will be invited to complete two separate assessments
    • Once the assessments are completed, candidates will participate in a pre-screening phone screen with Human Resources
    • A select group of candidates will be interviewed (rounds of interviews may include the team, Director of HR, and vCom’s CEO)
